Staff & Students at Runshaw College receive 1TB of free cloud storage with Microsoft OneDrive. This document will show you how to access OneDrive as well as how to upload and download files.  

How to Access:

You can access OneDrive via various methods & the username for OneDrive is yourid@runshaw.ac.uk (for staff) & yourid@student.runshaw.ac.uk for students.  The password is your normal college

  • Access your College Email via Webmail – you can do this using the link: https://www.outlook.com/runshaw.ac.uk
  • You should now see your college inbox. From the top left click the icon with the 9 squares and then OneDrive from the drop down menu that appears.
  • You will now be able to see your OneDrive account. If you have not used OneDrive before you may find that your file/folder list may be blank.

To upload a file to OneDrive:

select Upload from the top menu and then select the File in the new window that you would like to upload to your OneDrive account and press Open. Once uploaded, the file should appear in your Files list on OneDrive. If you want to upload a folder select Upload – Folder (but please note that this option is not available in Internet Explorer – please use MS Edge or Chrome).

To download a file from your OneDrive account:

Click just to the left of the file you wish to download and a blue circle will appear. You can then click Download from the top menu and it should download the file back to your local machine.In order to simplify/speed up accessing and editing your files from home, please be reminded that whilst you are a member of staff or a student at Runshaw you do have your own OneDrive account.  Files saved to OneDrive are accessible both in college and at home.

If you are logged in on Remote Access, or on a PC in college, it would be worthwhile copying your files and folders onto OneDrive and make this your primary source of data storage moving forward.

Methods of Access

From home using the web version via the ‘My Runshaw’ page on the college website (your login details from home are the same as for Teams, Outlook and email; studentid@student.runshaw.ac.uk or staffid@runshaw.ac.uk and your usual password

From within college (or at home using a college laptop)

Using the web version via the ‘My Runshaw’ page on the college website as above (but we advise you use the in-built web editor in this case for editing existing files)

or via the folder option within “Explorer” - If you are a member of staff you will need to sync OneDrive to set up the folders (select Sync from top menu when on web version)

Save Files to OneDrive

Directly from within MS Office applications whilst on-site, simply click File, Save As and select OneDrive:

If you have existing files already saved elsewhere you can:

  • Drag existing files into the OneDrive folder or onto OneDrive web
  • Click on the Upload button within OneDrive web and browse to the desired files


Web Editor

OneDrive has a built in editor (when accessed via the web version) so Word, Excel etc look almost identical to the fully installed version (the files also autosave):

This is particularly useful if you have had issues installing the Microsoft Office suite on your device

To edit using the in-built editor simply click on the file within your OneDrive web and it will open within your web browser

You can also create new files direct on the web by clicking on New & then select the file type
