What to Do in Case of a Lost, Stolen, or Damaged Laptop

All Runshaw staff are welcome and encouraged to take their loaned device home with them. This will minimise any disruption caused by a college closure. However, we ask that you take care of and respect your loaned device while it is borrowed. Our laptops are of high specification and come with onsite support from Service Desk. Most laptops loaned out to staff are valued at £1200 or more, while laptops loaned out to IT, QMIST, Create, and Visual Arts MacBooks are valued at £1800. Considering the added cost of insurance, providing laptops to all teaching and most support staff is a significant expense for the college.

Below we’ve outlined what we expect our staff to do if they experience theft or damage to their loaned college device:


Looking After Your Loaned Laptop:

  1. Do not leave any college device in any unlocked vehicles.

  2. Avoid leaving devices in vehicles overnight if possible.

  3. Use a bag or carry case when transporting your loaned device.

  4. Keep fluids away from the device.

  5. Handle the device carefully; do not drop, throw, or mistreat the laptop.

  6. If the laptop is left onsite overnight, please place it in locked storage to prevent easy access. Note that any laptops left on desks may be removed by facilities to enhance overall building security.


Accidental Damage to Your Loaned Laptop:

  1. Report any accidental damage to us as soon as possible.

  2. All staff devices have accidental damage insurance, covering one screen replacement per year and most other repairs.


Lost or Stolen Loaned Laptop:

  1. Provide Service Desk with the crime number (if applicable) to follow up with the appropriate authorities.

  2. Email/Raise a ticket with Service Desk providing a written statement detailing the events leading up to the stolen or lost laptop. Include specific times and dates in this statement.

  3. While our laptops are encrypted, it is crucial to report any losses or theft promptly. If we cannot remotely lock down the device in a timely manner, we may need to inform the Information Commissioner’s Office.


College Ownership and Replacement Costs:

  1. Runshaw College owns the laptop and provides it for use away from campus.

  2. We cover all costs for replacements in most circumstances.

  3. Negligence will not be covered. If you are suspected of neglecting your loaned device, resulting in loss or theft, you will be responsible for covering the costs of the laptop.


Importance of Reporting Incidents Promptly:

  1. Promptly reporting loss, theft, or accidental damage to your college laptop is crucial.

  2. This academic year, the college experienced a £40,000 increase in insurance costs for all college IT hardware, and costs are expected to rise again next year.

  3. Reporting incidents promptly allows us to continue supporting you and your college devices.
